Build your own wine data, for free: you don't need a better memory, you need a better system
Tasting notes fade and study notes scatter. How to build a personal wine database with free tools, an AI chat and Notion, that follows you from exam to exam and job to job.

The bottles change. The lists rotate. Even your sharpest tasting notes fade into the fog. But what if your wine knowledge didn't have to?
For every sommelier, WSET student or wine buyer working in a job built on recall, here is the shift: don't just study. Start building. Not a cellar, not a résumé: your own wine data, made with tools you already have, organised the way you learn.
Why it matters
Every new job resets what you know about the list. Every exam season starts from scratch. Notes get lost, teams forget, you move cities and you're back at zero. Your own wine data follows you. Built right, it grows with you: a sommelier's brain you can carry, private and personal.
What is wine data?
Not a spreadsheet of stock codes. Your archive of what you know:
- Tasting notes, in your words, from wines you actually tasted
- Flashcards for your exam level
- Blind tasting drills, and a log of your hits and misses
- Label photos, pairing notes and the descriptors you reach for
- Staff training questions and wine list blurbs
- Service notes and the history of your by-the-glass list
That's the difference between remembering and retaining.
What you need (all free)
- An AI chat, such as ChatGPT, to write questions, flashcards, summaries and drills. The free version is enough to start.
- Notion, which has a free plan, to keep it all in one searchable place. A spreadsheet or a notes app works too; Notion just makes it easier to sort and filter.
Prompts that build your data
- “Create 20 flashcards on Bordeaux for WSET Level 3: the question on one line, the answer on the next.”
- “Write the structure of a deductive tasting note for a classic Mosel Riesling, in the order of the Court's grid.”
- “Make a blind tasting quiz on Italian white wines: give me the clues, I'll name the wine.”
- “List ten differences between Loire and Alsace white wine styles.”
- “Write five multiple-choice questions on Spain at WSET Level 2, with one clearly right answer each.”
This isn't cheating. It's clarity. Let AI build the frame, so you can do the thinking. And save your best prompts: reuse them, make variations. That's your curriculum now.
How to set it up in Notion
- One database, one row per wine or topic. Add properties for grape, region, exam level and date.
- Views for each job: study mode (filtered by exam level), service mode (sorted by list section), and a blind tasting log.
- Hide the answers. Paste AI flashcards with the answer inside a toggle, so you test yourself before you open it.
- Score your blind tastings. A simple hit or miss for grape, region and vintage shows your weak spots in a month.
- Add label photos and pairing notes to each wine's page, and how guests reacted.
- Share it or keep it. Share a page with your team or study group, or keep it just for you.
Set it up once, update it as you go. It's a living document of everything you've learned about wine.
Real life, real fast
- Starting a new job? Bring your system and skip most of the ramp-up.
- Studying for WSET or the Court? Build a section for each unit or level.
- Training a new hire? Duplicate your blind drills and staff notes.
- Writing a list? Search your own pairings and past pours for blurbs that land.
Keep it true
- Check before you save. Your database is only as good as what goes in. AI can be wrong, so check facts against your course material or the region's official body.
- Date every note. Wine laws change. A dated note tells you when to check again.
- Your palate, your words. AI can't taste. A note from a wine you tasted is worth ten generated ones.
